This AI Code of Conduct outlines the ethical principles and operational standards guiding Click4Time’s development, deployment, and oversight of artificial intelligence features within our practice management software. This code applies to all Click4Time employees, contractors, partners, and stakeholders involved in the planning, design, development, implementation, support, and use of AI technologies integrated into our products and services.

- Respect human autonomy, professional judgment, and the therapist-client relationship
- Support, not replace, the clinical, operational, and communication decisions of practitioners

- Uphold the highest standards of privacy, confidentiality, and security
Data Privacy and Security
Client Data Protection
- No Training on Client Data: Click4Time will NOT use ANY client information to train AI models.
- No Unauthorized Data Sharing: Identifiable client or practitioner data will never be shared with third parties without explicit permission from the client and/or practitioner.
- Data Minimization: Only data necessary to provide defined services will be collected and processed.
- Health Privacy Compliance: All AI systems will comply with relevant privacy laws (HIPAA, PIPEDA, GDPR, and regional healthcare privacy standards).
Security Measures
- Data is protected using encryption, authentication, and access controls.
- Regular security testing and risk assessments are performed.
- Incident response and breach notification protocols are maintained and reviewed.
Transparency and Explainability
- Users will be clearly informed when they interact with AI-powered features.
- The purpose, capabilities, and limitations of AI features will be communicated in documentation and support materials.
- Where appropriate, AI-generated recommendations will include context to aid practitioner understanding and interpretation.
Human Oversight and Decision-Making
- AI tools are intended to support, not replace, practitioner judgment.
- All clinically relevant decisions remain the responsibility of qualified practitioners.
- Practitioners may override AI suggestions at any time.
- Users are encouraged to provide feedback, flag issues, and report concerns.
Fairness and Non-Discrimination
- AI systems will be evaluated to minimize bias and avoid discriminatory outcomes.
- Training data and system outputs will be reviewed periodically for fairness and accuracy.
- Identified disparities will be addressed promptly with corrective measures.
Professional Alignment
- AI features are developed in consultation with health and wellness professionals.
- Recommendations and workflows will align with recognized evidence-based practice standards.
- Systems are designed to respect practitioner autonomy and support strong practitioner-client relationships.
Accountability
- Clear accountability is assigned across AI development, deployment, monitoring, and support roles.
- Regular auditing will assess AI features for performance, fairness, and compliance.
- Click4Time is not responsible for the outputs of its AI systems.
Continuous Improvement
- AI ethics and healthcare regulatory developments will be monitored and integrated into platform updates.
- Practitioner and client feedback will inform ongoing enhancements.
- Staff involved in AI systems will receive training in responsible AI practices.
Implementation and Compliance
- All Click4Time team members must adhere to this Code of Conduct.
- An internal review structure will oversee compliance and ethical governance.
- Violations will be addressed promptly and appropriately.
